BOOKING TERMS & CONDITIONS

1.TERMS OF USE
This contract is with Dalebottom Farm Caravan and Camping Park. A contract exists as soon as you confirm your booking/reservation, which binds you to our terms and conditions. Please check these carefully to ensure they reflect your wishes.

By using our website, you acknowledge that you have read and fully understood these terms and conditions in full (“Terms”). If you disagree with any part of these terms, you must not use our website. We will ask you to expressly agree to these terms and conditions.
Please read these Terms carefully and check that the details on the Booking are complete and accurate before you sign and/or submit and confirm the Booking/Reservation.

  • The person who signs the booking form is responsible for the booking and warrants that they are over 18 years of age and that the party will not exceed the numbers stated on the booking form.
  • By submitting a Booking/Reservation, you are agreeing to these Terms and Conditions and to adhere to the Site Policies.
  • Minimum stays apply during peak times. The minimum number of nights available for booking can be checked on the booking calendar or by contacting reception at reception@dalebottomfarm.co.uk
  • We may revise these Terms, Site Policies, or the Booking/Reservation at any time, under any circumstances, up until the day of arrival.

2. GROUP BOOKINGS
Our caravan and camping park caters to families; therefore, we do not permit “party” groups, including stag and hen parties. Due to the family-oriented nature of our site, additional restrictions may apply to group bookings, particularly during peak seasons. Please contact us for further information.

Group bookings, whether arranged by a single individual or multiple persons, must be made through reception. Failure to do so will result in the cancellation of any associated bookings. We only accept group bookings if they are arranged in advance and the nature of the group is clearly communicated.

The lead booker of a group assumes responsibility for the conduct of all members of the group and for ensuring compliance with our terms and conditions. We may request a security deposit from the lead booker as a precaution against any damages caused by group members. Disruptive or unacceptable behaviour may result in expulsion from the site without refund.

Unauthorised group bookings will be promptly cancelled. Charges incurred from Stripe (booking and refund fees) will not be refunded. For further clarification, please contact us at reception@dalebottomfarm.co.uk

3. HOW TO PAY

  • All payments must be made in pounds sterling.
  • The easiest way to pay for your holiday is online through our secure payment system provided by Stripe.
  • The booking secures a pitch for the specified dates, subject to receiving authorised payment within 24 hours of making the booking. Provisional bookings will be cancelled after 24 hours if no payment is received.
  • We will notify you of all payments and cancellations by email.
  • Payment can be made by BACS payment if agreed with reception.

4. ARRIVALS & DEPARTURES

Touring and Camping: Check-in is from 3:00 PM to 8:00 PM on the day of arrival. Departure is by 12:00 midday. Please leave your pitch tidy.

Holiday Hire: Check-in is from 3:00 PM to 8:00 PM on the day of arrival. Check-out is by 10:00 AM. The letting unit should be returned clean and tidy, with bins emptied.

5. BOOKING CONDITIONS – TOURING AND CAMPING

  • The balance payment for all bookings must be paid 28 days prior to your arrival date. Failure to make the balance payment by this time may result in the cancellation of your booking.
  • Deposits are 25% of the total stay and are non-refundable once made. We do not provide refunds for stays that are cut short by a guest for any reason, including inclement weather.
  • Shower tokens are available for purchase from reception.
  • All day visitors must check in at reception before entering the site.
  • Guests are required to refrain from any antisocial behaviour, including loud music, bad language, drunkenness, drug use, excessive noise late at night, or aggression toward staff or other visitors while on the site or in the surrounding area.
  • Please drive slowly on the site, observing a maximum speed limit of 5 mph, especially when passing through gateways, as children may be playing nearby.
  • Please dispose of all rubbish in the bins provided.
  • Noise must be kept to a minimum after 10:30 PM.
  • Guests are responsible for keeping their pitch clean and tidy and must check it before departing. Do not leave anything on your pitch that may cause damage to our grounds or to another guest’s vehicle.
  • If you wish to fly a kite, please be aware of any overhead electric cables. Seek advice from a staff member on the safest location.
  • Fireworks and Chinese lanterns are strictly prohibited on site. Guests should refrain from using anything that poses a potential fire hazard to themselves, other guests, or their accommodations.
  • Tampering with fire bells and alarms is strictly prohibited. These devices are for your safety and should only be used in emergencies. If you witness anyone tampering with these devices, please inform us immediately.
  • Please keep all personal possessions and valuables out of sight and do not leave them unattended at any time. Dalebottom Farm Caravan and Camping Park management and staff accept no liability for the safety or security of any items or possessions belonging to guests or their visitors.
  • BBQs and Small Fire Pits: We allow BBQs and small fire pits on site, but fire pits must be raised off the ground (makeshift fire pits are banned for safety reasons). Please ensure any BBQ or fire has completely cooled before leaving it unattended. Cool the charcoal or ash with cold water if needed. Disposable BBQs are not allowed on site.
  • Dogs: Dogs must not be left unattended at any time. Please ensure your dog does not cause damage or disturbance to the site or other visitors. You must always clean up after your pet. Waste bins are provided for your convenience.
  • We reserve the right to deny entry, cancel a booking, or terminate a holiday (without a refund) if, in the opinion of management or staff, a booking has been made using false information, or if an individual’s behaviour compromises the enjoyment or safety of others.
  • By placing a booking, you agree that any disputes will be settled at the discretion of management or staff, whose decision is final.

6. BOOKING CONDITIONS – HOLIDAY HIRE

  • The final balance payment for all bookings must be paid 28 days prior to your arrival date. If we do not receive the balance by this time, we reserve the right to cancel the booking.
  • Deposits of 25% of the total stay are taken upon booking and are non-refundable.
  • Cancellation: Please refer to our cancellation policy below (7).
  • Accommodation must be left clean and tidy, with bins and the fridge emptied. We reserve the right to charge a cleaning or damage fee of up to £250 if accommodations are left in an unacceptable state.
  • Please bring your own bed linen and towels; these are not provided.
  • A maximum of two small dogs per letting unit is allowed at an additional charge. Dogs must be kept off soft furnishings. Notify us in advance if you plan to bring dogs.
  • Check-in is from 3:00 PM to 8:00 PM, and check-out is by 10:00 AM on departure day.
  • Smoking is strictly prohibited inside accommodations. A penalty fee may apply if evidence of smoking is found.

We reserve the right to deny entry, cancel a booking, or terminate a holiday (without refund) if behaviour compromises others’ safety or enjoyment.

By placing a booking, you agree to resolve any disputes at management’s discretion, whose decision is final.

7. CANCELLATION AND AMENDMENTS

  • Booking cancellations or amendments will be processed according to the following terms and conditions: Cancellations made more than 28 days prior to the arrival date will be eligible for a full refund on pitch fees or holiday hire, less the non-refundable deposit of 25%. In certain circumstances, we may offer a Credit Voucher. Please contact us via email to discuss available options.
  • Cancellations made within 28 days of the arrival date will not qualify for any refund on pitch fees or holiday hire. However, if we manage to re-book the pitch/s for the same dates and costs, we may offer a Credit Voucher. Please email us to discuss available options.
  • Bookings received less than 28 days before the arrival date and subsequently cancelled by guests will result in the loss of full payment.
  • Any credit vouchers issued must be utilised within the calendar year of your original booking.
  • We do not provide refunds for early departures or offer alterations during your stay.
  • We highly recommend that customers take out holiday insurance.
  • Cancellation by us: In the rare event that we must cancel your booking, we will notify you as soon as possible. You will have the option to receive a full refund or accept any alternative arrangements offered to you (i.e., a credit voucher). If the alternative is less expensive than your original booking, we will refund you the price difference.
  • We are not liable for any expenses you incur or any refunds whatsoever in the event that we are unable to fulfil your booking due to circumstances beyond our control. Such circumstances include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, pandemics, epidemics including any form of COVID 19, health risks, and other crisis situations (“Force Majeure”).

8. DEFINITIONS

  • Camper vans – up to 5 m long. Short-wheel-based – (VW camper, Vito, Bongo, etc.) – suitable for grass pitches and hardstanding pitches.
  • Motor homes – longer than 5 m – not allowed on grass – suitable for hardstanding pitches.
  • Booking as a single person – confirms that you are travelling on your own and not part of a group.
  • Booking as a couple – confirms that you are any 2 people only and not part of a group.
  • Booking as a family – confirms that you are at least 1 parent with child or children under 18 years old. If this does not cover your family group, please email us with details, prior to booking.
  • Group bookings – are 3 or more people and must be made via receptions by emailing reception@dalebottomfarm.co.uk
  • Pitching – this is where you place your tent etc. You will be advised where to pitch by reception. You are not allowed to pitch on any other pitch or area/field. (If we must move your tent, you confirm that you relinquish the right to claim liability against the site, staff or management for any damage or inconvenience caused by or during the move)

9. LIABILITY
Liability is not accepted by Dalebottom Farm Caravan and Campsite to any person visiting, for any personal injury, loss or damage to any property including, motor vehicles and personal effects, however caused or sustained.

We reserve the right to ask guests who contravene these terms and conditions or, who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors, to leave the site immediately. In these circumstances, the holiday ceases and we shall not be liable for any extra costs incurred by you.

We reserve the right to change or modify any of the terms and conditions contained in the Terms or any policy or guideline of the Site, at any time and in our sole discretion. Any changes or modification will be effective immediately upon posting of the revisions on the Site, and you waive any right you may have to receive specific notice of such changes or modifications. Your continued use of these Site following the posting of changes or modifications will confirm your acceptance of such changes or modifications.
